Accounting and Administrative Specialist

Job Description:
o Bookkeeping & accounting
• Maintain accounting using QuickBooks
• Verify, allocate, and post details of business transactions such as sales, invoices, receipts and check stubs
• Accounts receivable, accounts payable, bank reconciliations
• Prepare, review, and submit monthly, quarterly, and annual financial statements including both cash and accrual basis balance sheet and profit and loss statements, cash flow statement and any other reports necessary for management and budget purposes
• Complete records through trial balance.
o Work with CPA firm on taxes
o Manage petty cash
o Maintain well organized file system
o HR
o All payroll functions including preparation of payroll, calculation and payment of all payroll taxes and preparation of all monthly, quarterly, and annual payroll reports Manage Human Resources
o Administer compensation, benefit and safety programs
o Maintain personnel records
o Track employee time off (vacation, personal days)
o Administrative and Executive Specialist
o Prepare invoices, packing lists, order confirmations
o Communicate with customers
• Manage and track customer payments and bank wire transfers
o Assist CEO and VP Operations in misc. administrative tasks

Job Requirements:
Thorough knowledge of Quickbooks. Knowledge of MS Excel. Strong knowledge of accounting. Demonstrated strong organizational skills. Proactive and resourceful. Self-motivated. Proficient in desktop applications such as MS Word, Excel, PowerPoint, email messaging tools, etc. BA/BS degree or equivalent. Minimum 2 - 4 years of related experience.
